For booking or holding any tour package or services, 100% of the flight cost and at least 50% of the land package cost must be paid in advance. The balance amount should be cleared at least seven days prior to the date of departure from your city or country. The company reserves the right to determine the advance payment amount depending on the nature of services and the time left before the commencement of the tour. In certain cases, such as special train journeys or hotel and resort bookings during peak seasons like Christmas and New Year, full payment is required to be made in advance.

If you or any member of your party wishes to cancel the holiday, you must notify us in writing. The date of cancellation will be considered as the date on which the written notice is received by DOD Travels. Since cancellations involve administrative costs and retention charges by hotels, the following cancellation charges will apply: cancellations made more than 20 days before departure will result in loss of deposit only; cancellations between 19–10 days before departure will incur 50% of the tour cost; cancellations between 9–6 days before departure will incur 75% of the tour cost; and cancellations made 5 days or less before departure will incur 100% of the tour cost.

If you are accompanied by a child below 5 years of age, no charges will apply. For children between 5 and 12 years, the cost of an extra bed as charged by the hotel will be applicable. For children above 12 years, the cost will be considered as that of an adult (third person) as per the hotel’s policies, with or without an extra bed.

Please note that the standard check-in and check-out time in most hotels is 12:00 PM (IST). The cost of early check-in or late check-out is not included in the tour package. While we can request the hotel for early check-in or late check-out if required, it is not guaranteed and is subject to the hotel’s policy, time of the year, and room availability.

We strive to provide all passengers with an enjoyable and trouble-free holiday. However, on rare occasions, issues may arise. Should you have any complaints, please inform your tour manager immediately, who will make every effort to resolve the matter on the spot. If the issue is not resolved to your satisfaction, you must notify the company in writing within 28 days of the tour’s conclusion. Failure to do so may affect the investigation and outcome of your complaint. Any disputes between clients and DOD Travels shall be governed under Indian jurisdiction.

DOD Travels accepts liability for those arrangements related to your holiday that are wholly within our control, including the negligence of our employees. However, we are not liable under the following circumstances:

• Any death, personal injury, sickness, accident, loss, delay, discomfort, increased expenses, consequential loss, damage, or theft, however caused.
• Any act, omission, or default of independent contractors, service providers, or their employees/agents engaged in providing accommodation, refreshments, transport, or other services.
• Circumstances beyond our control, including but not limited to natural disasters, industrial disputes, war, riots, civil strife, terrorist activities, technical issues with transport, extreme weather, airport or seaport closures, or any other unusual or unforeseeable situations.

The price of your travel arrangements is subject to surcharges in the event of sudden increases in fuel prices, scheduled airfare, or any taxes imposed by the government. In such cases, we will try to absorb up to 2% of the increase; however, any amount exceeding this will be charged as a surcharge.

Please note that the cost of the vehicle (car/coaches withthe driver) does not include extra usage of vehicle like after transfer or after sightseeing until or unless it is mentioned in the itinerary.
